Connect dedicated cold-outbound mailboxes, manage pool health, and stay within the per-user cap

What Sending Accounts Are

Dedicated mailboxes that send your cold sequences.

A sending account is a real mailbox — a Google Workspace or Microsoft 365 inbox — that Laureo connects via OAuth and uses to send cold-sequence steps and receive the replies. Cold sequences send only from these dedicated mailboxes, never from your primary CRM inbox, so your day-to-day email reputation stays separate from your cold-outbound reputation.

Up to 5 mailboxes per user
Each user on Ultra can connect up to 5 dedicated sending mailboxes. Connecting more mailboxes spreads your daily volume across more reputations and lets Laureo rotate sends, but every send still stays inside the enforced per-mailbox limits described in Deliverability.

Connecting a Mailbox

Admins connect mailboxes from the Mailboxes tab.

Connecting a sending mailbox is an admin-only action. From the Mailboxes tab, choose Connect mailbox and complete the OAuth flow:

  1. Pick the provider — Google Workspace or Microsoft 365.
  2. Sign in to the mailbox you want to dedicate to cold outbound and grant the requested send/read scopes.
  3. Laureo runs a connection preflight (domain authentication, send test) before the mailbox can send.
  4. Once the preflight passes, the mailbox appears in the pool with an active status.
Free Gmail and Outlook.com accounts are rejected
Cold Outreach requires a business mailbox on a domain you control so SPF, DKIM, and DMARC can be configured and the domain can be verified. Free consumer accounts (gmail.com, outlook.com, hotmail.com, and similar) cannot be connected as sending accounts.

Mailbox Health States

Every mailbox shows a live status.

Paused — bounce rateAuto-paused because the rolling bounce rate crossed the safety threshold. Replies still send. Review your list quality, then either resume (you confirm you understand the risk) or disconnect the mailbox. If the bounce rate stays high after you resume, Laureo pauses it again.
Paused — rate limitedThe provider returned repeated rate-limit responses. Laureo backs off automatically and resumes when the provider allows it.
Paused — token expiredThe OAuth connection needs to be re-authorized. Reconnect the mailbox to restore sending.
Paused — preflight regressionA previously passing domain check started failing (for example, a DNS record was removed). Re-run domain setup, then resume.

Adjusting a Mailbox's Daily Limit

Set how many cold emails a mailbox sends per day.

Every sending mailbox has an adjustable daily send limit. The recommended default is 30 emails per day, which keeps deliverability healthy for most senders. From a mailbox card, choose Edit next to Daily limit to raise or lower it, or leave it blank to return to the recommended default. Caps stay enforced at all times.

  1. New mailboxes still ramp up gradually over their first weeks. A raised limit only takes full effect once the managed ramp completes.
  2. You can set a limit above the recommended 50 per day, but Laureo warns you first. Sending that much from one mailbox raises the chance of landing in spam. Spreading volume across more mailboxes is safer.
  3. Each provider enforces a hard ceiling (about 2,000 per day). You cannot set a limit above it.
Fewer mailboxes, higher per-mailbox limit
Your plan allows a set monthly cold volume across all your mailboxes. If you connect only a couple of mailboxes, you can raise each one's daily limit to use more of that monthly allowance, staying inside the provider ceilings. Connecting more mailboxes at the recommended limit is the healthier way to reach the same volume.

One Active Connection Per Mailbox

A mailbox can be connected to one organization at a time.

Each mailbox can hold exactly one active Cold Outreach connection. If you try to connect a mailbox that is already connected, Laureo asks you to disconnect the existing connection first. This prevents two configurations from sending from the same address and racing on its daily limit.

Disconnecting a Mailbox

Stop using a mailbox for cold outbound.

An admin can disconnect a sending mailbox from the Mailboxes tab. Disconnecting stops new cold steps from sending through it; sequences that depend only on that mailbox pause until another mailbox is available. Replies already received remain in your inbox. Reconnect the mailbox at any time to resume — Laureo restarts its ramp from where the connection-age stage left off.

Reps and managers see this tab read-only
Only admins can connect, disconnect, or change pool mailboxes. Sales reps and sales managers can view the Mailboxes tab to see pool health, but the connection controls are hidden for them.
