Billing Roll-up & Customer Statements

See what a customer owes at a glance — the Billing card on their record and the printable statement

The Billing card

A money roll-up that headlines a company, opportunity, or contact record.

Open a company, opportunity, or person record and you'll see a Billing card summarizing where that customer stands financially — no need to dig through their invoices one by one. When the customer owes money, the card leads with the outstanding amount in red; when they don't, it shows a reassuring “No outstanding balance.”

What the card shows

  • Amount owed — The total open balance, with a count of how much is overdue and across how many overdue invoices.
  • Aging breakdown — The open balance split into Current, 1-30d, 31-60d, 61-90d, and 90d+ buckets so you can see how stale the debt is at a glance. (Shown only when there is a balance.)
  • Recurring — How many recurring schedules this customer has, and how many are active. Links straight to their recurring schedules.
  • Credit notes — The total credit available to apply, linking to the customer's credit notes.
  • Trust / escrow balance — If you hold funds in trust for this customer, the segregated balance appears on its own line, clearly labelled as held in trust.
Trust money is never mixed in
The trust / escrow balance is shown separately and is never folded into the amount owed or into any revenue figure. It is money you hold on behalf of the customer, not money they owe you. See Trust & Escrow for how trust accounts work.
Who sees the Billing card
The Billing card only appears for users who can view invoices. If you don't have access to invoices, the card is hidden entirely rather than showing an empty or restricted panel.

Use View invoices to open this customer's full invoice list, or the Recurring and Credit notes segments to drill into those. View statement opens a point-in-time customer statement, described next.

The customer statement

A clean, printable summary of everything the customer currently owes.

Click View statement on the Billing card to open the customer statement — a snapshot of the customer's open invoices as of right now. It is the document you send a customer who asks “what do I owe you?”

On the statement

  • Customer name and date — Who the statement is for and the date it was generated, with a count of open invoices.
  • Balance due — The open balance, shown per currency. If the customer has invoices in more than one currency, each currency gets its own balance — amounts in different currencies are never added together.
  • Open invoices — Each open invoice with its number, invoice date, due date, total, amount paid, and remaining balance. Invoice numbers link to the full invoice.

Use Download / print to print the statement or save it as a PDF through your browser's print dialog, ready to attach to an email or hand to the customer.
