Labels and filters

Mailbox labels that stay in sync with your mailbox, team labels for your organization, and filters that sort new mail as it arrives.

Labels sort the mail you already have, and filters sort new mail as it arrives. Labels come in two kinds: mailbox labels, which live in your connected mailbox and stay in sync both ways, and team labels, which belong to your organization and stay in Laureo. Filters add mailbox labels and do a few other things to new mail, and you set them up per mailbox.

Two kinds of labels

One set lives in your mailbox, the other belongs to your organization.

  • Mailbox labels are the labels in your connected mailbox. A label you create, apply or remove here is created, applied or removed in your mailbox too, and a change you make in your mail app comes back here. They are yours alone, one set per mailbox, and nested labels and label colors come across as they are.
  • Team labels are your organization’s own. Everyone in your organization sees the same set, and they are never written to anyone’s mailbox.

Labels show by name on the message row and in the open message. A message from a mailbox you send cold outreach from, and a thread a teammate shared with you, take team labels only.

Label a message

From the open message, a row, the keyboard, or a selection.

The same label picker opens from four places:

  • the More actions menu (the three dots) of an open message, then Label;
  • a right-click on a message row, then Label;
  • L on the selected row;
  • Label in the toolbar that appears when you select several messages (on a phone, it is under More).

Your mailbox labels come first, with nested labels under a parent you can expand, and your team labels follow under Team labels. Tick a label to apply it and untick it to remove it. From the open message, a row or L, a label applies to the whole conversation; from a selection, it applies to the messages you selected. When only some of the selected messages carry a label, its box shows a short line instead of a tick.

To make a new label, type its name in Search or create a label. Create “name” creates a mailbox label in that message’s mailbox and applies it, and Create as a team label makes a team label instead. If your mailbox does not answer, the change is undone and a message reads Could not update the label.

Move to

Label a conversation and take it out of the inbox in one step.

On a mailbox that uses labels, the More actions menu of a message from your own mailbox also offers Move to…. Pick one label: the conversation gets that label and leaves the inbox, and a note reading, for example, Moved to Billing offers Undo, which removes the label and puts the conversation back in the inbox.

Find mail by label

The Labels list in the filter row, and label: in search.

Once you have at least one mailbox label, a Labels control sits beside Filter in the row above the message list. It lists each mailbox’s labels as a tree, with a search box above it once you have more than twelve labels. Labels you hid from the label list in your mail app stay hidden here. Pick a label to see its mail: a Label: Billing chip shows what is applied, and its × clears it. From the inbox, a label shows all of its received mail, archived and done messages included, but never the trash. From any other folder it narrows that folder.

In the search field, label: matches both mailbox labels (nested ones by their full path) and team labels, ignoring case. See Search your mail for the rest of the filters you can type.

Create, rename, recolor and delete

Settings, My preferences, Email labels.

Go to Settings → My preferences → Email labels. Each connected mailbox has a Mailbox labels section above the Team labels section.

  • New label creates a label in that mailbox. Choose a parent under Nest under to place it inside another label.
  • Rename and Recolor change the label in your mailbox. Colors come from the palette your mailbox offers.
  • Delete asks first. The question names the label and the mailbox address and ends Your mailbox removes it from every message. The label goes from every message in that mailbox, including mail Laureo never synced, and the messages themselves stay.
Deleting a mailbox label cannot be undone
Your mailbox removes the label from every message that carries it, and nothing puts those labels back afterwards. The messages are not deleted.

Mailboxes that use categories

Some mailboxes have categories instead of labels.

On a mailbox that uses categories, the categories appear in the same places as mailbox labels and apply and remove from the same picker, with a few differences:

  • Categories are a flat list: there is no nesting.
  • Laureo cannot rename a category.
  • Move to… is not offered.
  • Creating, recoloring and deleting a category from Laureo works only on a mailbox that already allowed changes to its mail settings when it was connected. On any other mailbox, the Email labels page reads New categories are created in your mail app and appear here within ten minutes. and the label picker offers no way to create a category in that mailbox.

Filters

Sort new mail as it arrives. Settings, My preferences, Email filters.

Go to Settings → My preferences → Email filters. Each connected mailbox has its own list, and New filter opens the editor. You can also start from a message: in its More actions menu, Filter messages like these opens a new filter for that sender and mailbox.

Conditions. Fill in any of From, To or Cc, Subject contains, Has the words and Does not have, and tick any of Has an attachment, Is marketing mail, Is from a CRM contact and Sender has an open deal. A filter started from a message whose sender belongs to a CRM company also offers Is from this sender’s CRM company. Words are matched in the subject, the preview text and the sender name.

Actions. Under Do this: add up to five of that mailbox’s labels, Skip the inbox, Mark as read, and Star it. A mailbox with inbox tabs also offers Move to inbox tab. Tick Stop running later filters when this one matches to stop there; otherwise every filter that matches runs, from the top of the list down, in the order you created them.

  • New mail only. A filter acts on mail that arrives in your inbox after you save it. Mail you send is never filtered.
  • Preview matches checks the filter against your last 500 received messages in that mailbox before you save, for example Matches 12 of your last 500 messages., and lists up to ten of them.
  • Also apply to matching messages from the last 30 days is off by default. Tick it to apply the filter to earlier mail too, up to 1,000 messages. After saving, the page reads Applying to 12 messages. Changes appear in your inbox in a few minutes.
  • Each filter has a switch to turn it off and on, and a menu with Edit and Delete. Deleting a filter stops it sorting new mail; mail it already sorted stays where it is.
  • A mailbox holds up to 100 filters.
Filtered mail does not ring the bell
A message a filter skips from the inbox or marks as read raises no new mail notification. The filter’s labels and actions are made in your mailbox too, so your mail app shows the same result.

When a filter cannot do its work, its row on the Email filters page says why in one line: A label this filter adds is no longer in your mailbox., Reconnect this mailbox so this filter can run., or Last run could not reach your mailbox. The message itself still arrives in your inbox.

Import filters from your mailbox

Bring the filters you already use into Laureo in one step.

On the Email filters page, a mailbox whose filters Laureo can read shows Import filters from your mailbox beside New filter. It lists that mailbox’s own filters under it, and nothing in your mailbox changes while you look or import. On a mailbox that uses categories, the button appears only when the mailbox already allowed changes to its mail settings when it was connected.

  • A filter Laureo can run is ticked. Untick any you do not want.
  • A filter whose Laureo copy could act on more mail than the original is listed unticked, with a line that says why. Tick it if that is what you want.
  • A filter that cannot run in Laureo has no box, and a line says why, for example Uses message size, which Laureo filters do not check. or Uses search terms Laureo filters cannot match.
  • A filter you already imported reads Already in Laureo.
  • When part of a filter cannot run in Laureo, a line under it names that part, for example Stays in your mailbox only: forwarding. Forwarding is never imported, and that part keeps running in your mailbox only.

Import 2 filters (the number follows what you ticked) adds them after the last filter of that mailbox. Each one is an ordinary filter you can edit, turn off or delete, and its row reads Imported from your mailbox. The original is unchanged.

The originals keep running
Importing copies a filter. It never changes or removes the original, so your mailbox keeps sorting mail with it, usually before Laureo sees the message, and Laureo then has nothing left to change. To let Laureo do that work alone, delete the original in your mail app. Changes you make to the original later do not reach the Laureo copy.

Run filters in your mailbox

On a mailbox that uses categories, a filter can also run as a rule in the mailbox.

On a mailbox that uses categories and already allowed changes to its mail settings when it was connected, the filter editor shows Also run this filter in your mailbox. Turn it on and save, and the filter also runs as a rule in your mailbox, so it keeps working in your other mail apps, even when Laureo is closed. Laureo keeps that rule in step when you edit the filter, and a filter you imported from one of that mailbox’s rules takes over its original rule rather than making a second one. Laureo still runs every filter itself.

  • Filters that skip the inbox, star mail, use contacts, companies, deals or marketing mail, or look for more than one word or phrase run in Laureo only, and so does a filter below one that stops the others and runs in Laureo only. The editor says why in one line instead of showing the switch.
  • Your mailbox also looks for the filter’s words in the message body, so its rule can match a little more mail than the filter does in Laureo.
  • Turning the switch off, deleting the filter, or changing it so that it runs in Laureo only removes its rule from your mailbox, including an original rule it took over. The editor and the delete question say so first.
  • If you disconnect the mailbox, the rules Laureo made stay in it. Remove them in your mail app’s rule settings.
  • If your mailbox stops letting Laureo change its rules, the filter reads Your mailbox no longer lets Laureo change its rules, so this filter runs in Laureo only. When a change does not reach your mailbox, the row reads Could not update the rule in your mailbox. with Retry.

What syncs, and when

Changes travel both ways, on the mailbox sync.

  • A label you apply, remove, create or change in Laureo is made in your mailbox first. If your mailbox refuses it, the change is undone here.
  • A label you apply or remove in your mail app appears here with the next sync, usually within a minute.
  • A label you create in your mail app appears here within ten minutes.
  • A filter runs as mail arrives in Laureo, so a filtered message can show in your mail app for a moment before the filter moves it.

The Email filters permission

Who can set up filters.

The Email filters page and Filter messages like these need the rules permission on the Email row of the role editor (email.rules). Super admins, admins, sales managers, sales reps and the marketing and service roles have it by default. View only does not, and an admin can grant it to any custom role. Labels need no extra permission: labelling your own mail is part of working in your inbox. Filters are included on every plan.
