Cloud File Management

Upload, create, preview, and link files from Google Drive and OneDrive

Overview

A complete file management experience directly from your CRM records.

Cloud file management lets you upload files, create new documents, preview files inline, and link existing cloud files to CRM records — all without leaving the CRM. Files are stored in Google Drive or OneDrive and organized automatically into entity-specific folders.

Attachments vs. Cloud Files
Attachments are files uploaded directly to CRM storage. Cloud Files are stored in Google Drive or OneDrive. The CRM stores a reference and provides preview, upload, and creation capabilities. Use cloud files for documents your team edits collaboratively.

Supported Providers

Google Drive and Microsoft OneDrive are both supported.

  • Google Drive — full support: upload, create new Docs/Sheets/Slides, browse, link, preview, auto-folders.
  • Microsoft OneDrive — upload, browse, link, and auto-folders. Document creation is not available (requires SharePoint).

If both providers are connected, the Add File dropdown groups actions by provider.

Connecting Your Accounts

A cloud provider connection is required before you can manage files.

Steps

  1. Navigate to Settings > Integrations.
  2. Find the Google or Microsoft integration card and click Connect.
  3. Sign in with your account and grant the requested permissions, including drive/file access.
  4. Once connected, the integration card will show a Connected status.
Reconnecting for Upload Permissions
If you connected Google before upload support was added, you'll need to disconnect and reconnect your Google account from Settings > Integrations to grant the new drive.file permission required for uploading and creating files.

Uploading Files

Upload files from your computer directly to your cloud storage.

How to Upload

  1. Open a company, person, opportunity, project, or activity detail page.
  2. In the Linked Files section, click Add File.
  3. Select Upload to Google Drive or Upload to OneDrive.
  4. Drag files onto the drop zone or click Browse to select files.
  5. Click Upload. Files are automatically placed in the entity's cloud folder and linked to the record.

File Size Limits

  • Up to 4MB — uploaded through the CRM server (single request).
  • 4MB to 50MB — uploaded directly to the cloud provider using a resumable upload session. A progress bar shows real-time upload status.
  • Over 50MB — rejected. Consider compressing the file or uploading directly through Google Drive / OneDrive.

Supported File Types

PDF, Word (.doc, .docx), Excel (.xls, .xlsx), PowerPoint (.ppt, .pptx), plain text, CSV, images (JPEG, PNG, GIF, WebP, SVG), and ZIP archives.

Drag-and-Drop Upload

Drop files directly onto the Linked Files card to upload.

Drag files from your desktop onto the Linked Filescard. A blue border and “Drop files to upload” overlay will appear. Dropping the files opens the upload modal where you can review and confirm. Files are uploaded to the preferred provider (Google if connected, otherwise OneDrive) and auto-linked to the record.

Auto-Folder Organization

Files are automatically organized into entity-specific folders in your cloud storage.

When you upload a file or create a document from a CRM record, the system automatically creates a folder hierarchy in your cloud storage:

Folder IDs are cached so subsequent uploads to the same entity reuse the existing folder instantly, with no extra API calls.

Creating New Google Documents

Create new Google Docs, Sheets, or Slides directly from a CRM record.

Steps

  1. In the Linked Files section, click Add File.
  2. Select New Google Doc, New Google Sheet, or New Google Slides.
  3. Enter a name for the document.
  4. Click Create. The document is created in the entity's auto-folder, linked to the record, and opened in a new browser tab for editing.

Document creation is only available for Google Drive. OneDrive document creation requires SharePoint and is not supported.

Inline File Preview

Preview files without leaving the CRM.

Click any file name in the Linked Files list to open a preview modal:

  • Google Docs, Sheets, and Slides — embedded preview in an iframe. Fully interactive.
  • Other Google Drive files (PDFs, images) — embedded preview when sharing settings allow. Falls back to a “Preview not available” view with an “Open in Google Drive” button.
  • OneDrive files — opens directly in OneDrive via the “Open in OneDrive” button.

The external link icon next to each file opens it in the cloud provider in a new tab.

File Picker: Upload and New Folder

Upload files and create folders directly in the file picker.

When browsing files to link, the file picker toolbar includes an Upload button and a New Folder button. Upload places the file in the currently browsed folder (without auto-linking it). New Folder creates a folder inside the current location. Both actions refresh the file list immediately.

Browsing and Linking Files

Select existing files from your cloud storage and link them to a CRM record.

Steps

  1. Open a company, person, opportunity, project, or activity detail page.
  2. In the Linked Files section, click Add File.
  3. Select Link from Google Drive or Link from OneDrive.
  4. Browse folders or use the search bar to find files by name.
  5. Select one or more files using the checkboxes. Folders cannot be selected — click to navigate.
  6. Click Link N File(s) to link the selected files to the record.

Where Files Appear

Cloud files are available on four entity types.

  • Companies — below the Attachments section on the company detail page.
  • People — below the Activities section on the person detail page.
  • Opportunities — below the Activities section on the opportunity detail page.
  • Projects — below the Activity Timeline on the project detail page.

Unlinking Files

Remove a file link without deleting the file from cloud storage.

Hover over a linked file and click the unlink icon on the right. The file will be removed from the CRM record but remains untouched in your cloud storage.

When No Provider Is Connected

What you see if no cloud account is linked.

If you have not connected a Google or Microsoft account, the Linked Files section displays a message with a link to Settings > Integrations. The Add File dropdown will not appear until at least one connection is active.
