Send bulk emails to contact groups from your inbox

Overview

Send personalized emails to many contacts at once using contact groups.

Contact groups allow you to organize contacts into lists for targeted outreach. Instead of composing individual emails to each person, you can send a single email to an entire group with personalization variables that tailor the content for each recipient. This is ideal for announcements, newsletters, event invitations, and sales campaigns.

Creating a Contact Group for Outreach

Build a targeted list of recipients before sending.

Navigate to Contact Groups

Go to People > Contact Groups from the main navigation. Click New Group to create a new contact group.

Name and configure the group

Give your group a descriptive name (e.g., "Q2 Product Launch - Enterprise Contacts"). Choose whether the group is static (manually selected contacts) or dynamic (auto-populated based on filter criteria).

Add contacts to the group

For static groups, search and select individual contacts to add. For dynamic groups, define filter criteria (e.g., industry, status, location, tags) and the group will automatically include all matching contacts.

Review the member list

Before sending, review the group members to ensure the right contacts are included. Check that each contact has a valid email address. Contacts without email addresses will be skipped during bulk sending.

Selecting Recipients from a Group

Choose a contact group as the recipient list for a bulk email.

When composing a bulk email, click the To field and switch to the Contact Groups tab. Select the group you want to email. The total number of recipients with valid email addresses is displayed next to the group name. You can select multiple groups to combine their recipients, and duplicates are automatically removed.

Composing Bulk Emails

Write your email with personalization for each recipient.

The bulk email compose form works the same as the individual compose form, with the addition of a recipient count indicator and enhanced template variable support. Write your email using the rich text editor, attach files, and select your signature just as you would for a single email.

Personalization Variables

Make each email feel personal with dynamic content.

Available Variables

Insert personalization variables into your email subject or body. These are replaced with each recipient's actual data when the email is sent:

  • {{first_name}}— The contact's first name.
  • {{last_name}}— The contact's last name.
  • {{full_name}}— The contact's full name.
  • {{email}}— The contact's email address.
  • {{company_name}}— The name of the contact's associated company.
  • {{title}}— The contact's job title.

If a variable cannot be resolved for a particular contact (e.g., the contact has no company associated), the variable placeholder is removed from the email, leaving a clean message. Preview your email with sample data before sending by clicking the Preview button.

Sending Limits and Best Practices

Stay within sending limits and maintain email deliverability.

Best Practices

  • Respect daily limits — Your organization has a daily sending limit based on your plan. The remaining quota is shown in the compose form.
  • Clean your lists — Remove invalid email addresses and unsubscribed contacts before sending. High bounce rates harm your sender reputation.
  • Segment your audience — Smaller, targeted groups perform better than large, generic blasts. Tailor your message to the audience.
  • Include an unsubscribe option — All bulk emails automatically include an unsubscribe link in the footer to comply with email regulations.
  • Test before sending — Send a test email to yourself first to verify formatting, variables, and links are working correctly.
Email sending limits
Bulk emails are subject to daily sending limits set by your organization's plan. If you attempt to send to a group that exceeds your remaining daily quota, the send will be blocked and you will be notified of the limit. Contact your administrator to review your plan's sending capacity.
