Workspace instructions are a short list of sentences your administrators write for Laureo: what you sell, how you talk to customers, and your house preferences, such as “Quote prices in euros for customers in Europe.” Laureo follows the active instructions in every conversation, for everyone in the workspace, and your AI agents follow them on every run.

They sit beside each person's own memory rather than replacing it. What one person asks Laureo to remember stays theirs; workspace instructions are the part everyone shares. Every plan that includes Laureo includes them.

Writing, pausing, deleting and restoring instructions, and changing the two switches below, needs the AI Workspace Instructions permission. Administrators hold it by default, and you can give it to another role in Roles & Permissions. People without it do not see the section on the settings page at all.

1. Go to Settings > Company > Integrations > AI.
2. Scroll to Workspace instructions. The line under the heading counts your instructions, how many are active, and how many characters the active ones use.

1. Type one instruction in New instruction, for example Quote prices in euros for customers in Europe.
2. Select Add instruction. It is active straight away.

Each instruction in the list has three controls. Edit corrects the text in place. Pause keeps the instruction in the list but Laureo does not follow it until you select Resume. Delete asks you to confirm, and a deleted instruction can be put back from the change history.

The switch Show to everyone in this workspace starts on. While it is on, everyone can read the active instructions, with no way to change them, in their own Personalization settings under From your workspace. Turn it off and only the people who can manage instructions see the list. Laureo still follows the instructions either way; with the list hidden it is told to say only that a workspace instruction applied, and never to quote or list one.

Select Show change history to see the latest changes, newest first: what the instruction said, whether it was added, changed, paused, resumed, deleted or restored, who did it and when. A change also shows the text before it. Restore this text puts an earlier version back, or brings back an instruction that was deleted.

When what Laureo has been told disagrees, it follows this order:

1. The product's own rules, and what the person asking is allowed to do.
2. Your workspace instructions.
3. What the person is asking for right now.
4. What that person asked Laureo to remember about them.

When an instruction changes what Laureo did from what was asked, it says so in one sentence. Your AI agents follow the same instructions, with the agent's own purpose standing where a person's question would, and an agent never reads anyone's personal memory.

When someone asks Laureo to remember something for the whole team, it saves the sentence to that person's own memory and tells them it was saved for them only. If they can manage workspace instructions, the answer carries a link that opens this section with their sentence already in the New instruction box. Nothing is added until they select Add instruction. Everyone else is told that only an administrator can set it for everyone.

The switch Let people in this workspace use personal memory starts on. When you turn it off, Laureo no longer uses what people asked it to remember, and each person's list becomes read-only. Nothing is deleted, and each person can still delete their own lines. Turning it back on brings their saved lines back into use.
