AI CRM, explained

What is an AI CRM?

An AI CRM is a customer relationship management system with artificial intelligence built into how it works, not bolted on as a chat box. The useful ones do more than summarize your records: they take action on them, drafting emails, creating tasks, and updating deals for you to approve. A plain chatbot only answers questions. An AI CRM proposes the work and waits for your sign off.

AI CRM is a category, not a single feature. This page defines it in plain terms, then shows how Laureo puts it into practice. It also appears in our glossary of CRM and AI terms.

Two shapes of AI

AI that takes action vs AI that only advises

The clearest way to sort AI CRMs is by what the AI is allowed to do. One kind answers questions and hands you text. The other operates on the records themselves. The model behind them matters less than whether the AI proposes real work or just talks about it.

  • Advisory AIAnswers questions about your records and hands you text to act on. A smart chat panel. You still create the task, send the email, and update the deal by hand.
  • Action-taking AIOperates on the records. It drafts the email, creates the task, and updates the deal, then holds each change for your approval. You review instead of retype.

For a hands-on way to tell the two apart in a demo, read our longer take on taking action versus answering questions, which walks through a simple test you can run yourself.

What to look for

What an AI CRM should do

Marketing language calls almost every CRM AI-powered, so it helps to judge by behavior. A capable AI CRM does more than describe your pipeline. Look for these six traits before you trust the label.

  • Act on your dataCreate, update, and link records, not just describe them in a chat reply.
  • Ask for approvalRoute every change it proposes through a place where you review, edit, or reject before anything ships.
  • Work on a scheduleRun recurring jobs on its own, so the prep is done before you open the app instead of waiting for you to prompt it.
  • Stay in your voiceDraft replies and outreach that sound like you, using the history already in the CRM.
  • Respect permissionsSee and change only what the person behind it is allowed to, with an audit trail of what ran.
  • Show its reasoningAttach a short rationale to each proposal so you can trust or correct it quickly.

AI that takes action

How Laureo does it

Laureo puts action-taking AI at the center of the CRM. Six built-in scheduled agents watch your pipeline, inbox, and contacts, then draft the work they find: follow-up tasks on quiet deals, replies to new email in your voice, and re-engagement notes for dormant accounts. Ask in plain language, for example Hey Laureo, draft follow-ups for every deal that went quiet this week, and the results land in one place.

Nothing is sent or saved on its own. Every proposal an agent makes waits in the approval queue with a short rationale, ready to approve, edit inline, or reject. You review a prepped day instead of building it from scratch, and the AI budget is a share of your plan rather than a metered surprise. See what Laureo AI does.

Frequently Asked Questions

A regular CRM stores your contacts, deals, and activity and leaves the work to you. An AI CRM adds a layer that can act on that data, drafting messages, creating tasks, and updating records for you to approve. The records are the same; the AI CRM does more of the routine work on top of them.
No. A chatbot answers questions in a side panel and hands you text to copy. An AI CRM can take action on your records and route each change through an approval step. If the AI only explains what you should do and never proposes the work itself, it is a chatbot bolted onto a CRM, not an AI CRM.
It should not. In a well-built AI CRM, the AI proposes and you approve. Laureo holds every agent proposal in an approval queue with a short rationale, so nothing is sent, saved, or updated until you review it. You can approve in bulk when a batch looks right or reject items one at a time.
Pricing varies by product. With Laureo, the CRM, email, scheduling, and AI agents come in one per-seat plan, and the AI budget is included as a share of that plan rather than metered per action. Every plan starts with a 14-day trial for $2.99, credited to your first month.
