Time Tracking & Invoicing

Log time against project tasks, keep billable and non-billable hours straight, and turn unbilled time into a draft invoice

Logging time on a task

Record the minutes worked, the date, and whether it is billable.

Time is logged against the tasks of a project. Open a project task and use its Time tab to record an entry: how many minutes were worked, on which date, and whether the time is billable. You can also set an hourly rate for the entry. Billable is on by default, so a quick log captures billable work without extra steps.

On the Business and Ultra plans
Logging time is available on Business and Ultra. On other plans you can still see time already logged on a project and turn it into invoices, so no billable work is stranded.
Time lives on project tasks
Time tracking is available on project tasks only, not on standalone tasks that are not part of a project. This keeps billable delivery time attached to the project it belongs to, ready to invoice.

Billed and unbilled time

See at a glance what is still waiting to be invoiced.

The project rolls up its time so you can see the totals without adding them yourself. Logged entries are split into what has already been turned into an invoice line and what is still unbilled, and the unbilled billable time is summed for you. Non-billable time is tracked for your own record but is never turned into an invoice line.

Generating invoice lines from time

Turn unbilled billable time into a draft invoice in one step.

When it is time to bill, use Generate invoice lines on the project. Laureo gathers all the unbilled billable time and creates a draftinvoice for the project's company. Entries are grouped into lines by task and rate: each line shows the hours as the quantity and the rate as the unit price. The invoice opens as a draft so you can review and adjust it before sending.

1

Log billable time as the work happens

Record time on the project's tasks, leaving billable on for anything you intend to charge for.

2

Generate invoice lines

Choose Generate invoice lines. A draft invoice is created for the project's company, one line per task and rate. The invoice currency follows the project's currency.

3

Review and send the draft

Open the draft invoice, make any adjustments, and send it through the normal invoice flow. See Creating & Managing Invoices for sending and payment.

Safe to run more than once
Generating invoice lines is idempotent: once time has been billed, running Generate again bills nothing new, so you can never accidentally double-charge for the same hours. A time entry that has already been turned into an invoice line cannot be deleted, which keeps your billed history and your invoices in agreement. The project must have a linked company to invoice; if it has none, add one first.
