Creating a Quote

Build and configure a sales quote with line items, discounts, and tax

Creating a Quote

Walk through the process of building a new quote from scratch.

Open the quotes page

Navigate to Quotes in the sidebar to view the quotes list.

Click New Quote

Click the New Quote button in the top-right corner. The quote creation form will open.

Enter the quote details

Fill in the Title (required), select a Company, and optionally choose a Contact and Opportunity. If you select a company first, the contact and opportunity dropdowns will be filtered to show only records associated with that company.

Select a template (optional)

Choose a Template to auto-fill the introduction, notes, terms and conditions, currency, and (if the template was saved with them) the line items. You can modify any template-provided content after it is applied. If your builder already has line items, applying a template that carries its own line items asks you to confirm before replacing them. See Quote templates below.

Add line items

Add products from your catalog or create custom line items. For each line item, specify the quantity, unit price, and optionally apply a discount and tax rate. The line total is calculated automatically.

Review totals and save

Review the subtotal, discount, tax, and total amounts at the bottom of the form. Add any notes or terms and conditions, then click Save to create the quote in Draft status.

Line Items

Add products and services to the quote with pricing and discounts.

Line items are the individual products or services included in the quote. Each line item consists of the following fields:

  • Product — Select a product from your catalog. Selecting a product auto-fills the name, description, and unit price.
  • Name — The display name for this line item. Auto-filled from the product but can be customized.
  • Description — A description of the line item. Auto-filled from the product but editable.
  • Quantity — The number of units being quoted.
  • Unit Price — The price per unit. Auto-filled from the product and editable.
  • Discount Type — Choose between percentage (%) or fixed amount ($) discount.
  • Discount Value — The discount amount or percentage to apply to this line item.
  • Tax Rate — The tax rate percentage for this line item. Auto-filled from the product's tax configuration.
  • Line Total — Automatically calculated: (Quantity x Unit Price) - Discount + Tax.
Custom line items
You do not have to select a product from the catalog. You can create a custom line item by leaving the Product field empty and manually entering a name, description, quantity, and price. This is useful for one-off services or ad-hoc charges.

Quote Totals

Understanding the calculated totals at the bottom of the quote.

  • Subtotal — The sum of all line item totals before discounts and tax.
  • Discount — The total discount applied across all line items.
  • Tax — The total tax calculated across all line items based on their individual tax rates.
  • Total — The final amount: Subtotal - Discount + Tax. This is the amount the customer will be asked to pay.

Linked Records

How quotes connect to other records in your CRM.

Quotes can be linked to companies, contacts, and opportunities. These links provide context and traceability throughout the sales process:

Company & Contact

Associating a quote with a company and contact ensures the correct recipient information appears on the PDF and in email delivery. When you select a company, the contact dropdown is filtered to show only contacts belonging to that company.

Opportunity

Linking a quote to an opportunity connects the proposal to a specific deal in your pipeline. This allows you to track which quotes were created for each opportunity and their acceptance status. The opportunity dropdown is filtered by the selected company.

Quote numbering
Quote numbers are generated automatically in sequential order and cannot be edited. The number is assigned when the quote is first saved and is displayed in monospace font throughout the CRM for easy reference.

Quote templates

Save a quote's content once and reuse it on future quotes.

A quote template is a reusable snapshot of quote content. Instead of rebuilding the same proposal each time, save a finished quote as a template and apply it to new quotes from the builder.

Save a quote as a template

Open any quote and click Save as templatein the actions row. Give the template a name and save. This captures the quote's title, introduction, notes, terms and conditions, and every line item (product and price references, quantities, unit prices, discounts, and tax rates). Saving a template requires the quote edit permission.

Apply a template to a new quote

In the quote builder, pick your template from the Template dropdown. Its saved copy fills the introduction, notes, terms, and currency, and its saved line items load into the line-item table. Everything remains editable after it is applied.

What applying replaces
If the builder is empty, the template's line items apply immediately. If you have already added line items, applying a template that includes its own line items asks you to confirm first, then replaces the current line items. A legacy template that only stored header defaults (terms, notes, currency) applies exactly as it always has and never touches your line items.

Draft with AI

Let the assistant draft the title, introduction, and line items for you.

Once you have selected a company or a deal on a new quote, a Draft with AI button appears above the line items. Clicking it drafts a quote from that context: the linked deal (its stage, amount, and notes), the company, recent activity on the record, and up to three of your past accepted quotes for the same company. The assistant returns a suggested title, an introduction, and a set of line items, all of which you can edit before saving.

The drafted line items are added to the builder as regular custom lines, so they never create products in your catalog. Line items are always appended to what you already have. If you had already written a title or introduction, the assistant asks you to confirm before replacing them; if those fields were empty, the draft simply fills them in.

Availability
Draft with AI requires the Business or Ultra plan (the AI Draft and Approve capability), is available on Power and Owner seats once AI is set up for your organization, and it counts toward your plan's AI usage. If your AI budget for the period is used up, the button reports it and no quote is drafted.
