Switch from Financial Cents to Laureo

Bring your clients, the work you do for them and the time you booked against it across as three spreadsheets, then connect your inbox and get an AI that works on all of it. Billable time rides the Business and Ultra plans, so on a smaller plan send the clients and the work and keep the time file until you upgrade. Documents and the client message history stay behind, and this page says so before you start.

After the move

Your records land in one database, and the AI can act on all of them. A sample prompt once you are in:

Migration steps

Download your clients

Save the list of your clients and their details as a spreadsheet. Send it exactly as it comes out. This is the file everything else attaches to.

Download your client work

Save the work and projects list the same way. It points at clients by name, which is why the client file goes first.

Download your time

Save the time list last. It points at the work by name, so the work file has to be in before it.

Create your Laureo account

Sign up, name your organization, invite your team and set who can see what. This takes about five minutes.

Send the clients, then the work, then the time

In Laureo, open Admin, then Import. Pick Financial Cents from the list and send all three files in that order, so the work finds its client and the time finds its work. One thing to check before the time file: billable time tracking is on the Business and Ultra plans, and a row we read as billable is refused on a smaller plan and named on the review screen. A Billable cell we cannot read is treated as billable, so on a smaller plan the safe move is to send the clients and the work now and the time after you upgrade.

Set up your repeating work again

The work that has already been created comes across. The rule that repeats it does not, so rebuild your handful of repeating jobs here once and let them run.

Connect your inbox

Link Gmail or Outlook from your Laureo settings. Mail and calendar sync live and attach themselves to records by address, so your correspondence is not part of the spreadsheet work at all.

Check it, then go live

Spot check what landed, send a test email and check your time before you raise anything, so nobody is charged twice. If something is wrong you can undo the move inside the undo window listed in Good to know above, and the undo screen names anything it cannot take back out before you confirm.

What is not coming across.

  • Documents, client request threads and the email history your old system collected are not part of its download, so none of them come across.
  • Recurring work comes across as the work it already produced. The repeating rule behind it does not, so set that up again once you are in.
  • Time that has already been billed comes across as time, never as a bill. Check it before you raise anything so nobody is charged twice.
  • Three things come out of your old system: your clients, your client work, and your time. Send all three and we line them up for you.
  • Send the client list first. The work file points at clients by name and the time file points at the work by name, so the order is what keeps them joined up.
  • Photos and files come over on their own. One move brings over 2 GB and 500 files.
