Migration Guide
Switch from Canopy to Laureo
Bring your clients and their contacts across as two spreadsheets, then connect your inbox and get an AI that works across all of it. Documents and open balances stay behind, and this page says so before you start.
After the move
Your records land in one database, and the AI can act on all of them. A sample prompt once you are in:
“Hey Laureo, show me every client we brought across with no contact person on the record, then draft a short note to each owner asking who to speak to.”
Good to know
- One file can hold up to 10,000 rows.
- One file can be up to 10 megabytes.
- You can undo a move for 30 days after it finishes.
- You can undo a single file import for 24 hours after it finishes.
Why teams switch from Canopy
On Canopy
The quick download hands you a fixed set of columns, and the one that carries everything sits behind a menu and a permission on your role.
With Laureo
Your records are yours on every plan, and a full download is one button with nothing standing in front of it.
On Canopy
Open balances and work in progress come out on their own sheets, and nothing joins them back up to the client afterwards.
With Laureo
We say what we do not read yet in plain words, before you send a file rather than after, and the honest list on this page is the same one the review screen shows.
On Canopy
Your practice runs in one place, your mail runs in another, and the two only meet when somebody copies something across.
With Laureo
Clients, contacts, mail, meetings and work sit in one connected database, and the AI drafts, updates and queues work for your approval across all of it.
Migration steps
Turn on the permission first
Your role needs the export permission for clients and contacts switched on, or the download is not offered at all. Ask whoever runs your account if you cannot see it.
Download your client list the long way
Skip the quick download icon: it gives you a fixed set of columns and no way to change them. Use the Options menu instead and tick the box that includes the hidden columns, so nothing is left behind.
Download your contact list
Save your contacts the same way, from the same menu. Send both files exactly as they come out, under the names Canopy gives them.
Put the other sheets somewhere safe
Open balances and work in progress come out separately and we do not read those yet. Save them where you can find them again, because they will not be waiting for you afterwards.
Create your Laureo account
Sign up, name your organization, invite your team and set who can see what. This takes about five minutes.
Send the clients, then the contacts
In Laureo, open Admin, then Import. Pick Canopy from the list and send the client file first, so every contact finds the client it belongs to.
Connect your inbox
Link Gmail or Outlook from your Laureo settings. Mail and calendar sync live and attach themselves to records by address, so your correspondence is not part of the spreadsheet work at all.
Check it, then go live
Spot check what landed, send a test email and confirm your client count matches the sheet you sent. If something is wrong you can undo the move inside the undo window listed in Good to know above, and the undo screen names anything it cannot take back out before you confirm.
What comes across
This list is generated from what Laureo actually reads out of a Canopy export, so it cannot promise you more than the product delivers.
| What you send | Where it goes |

| Clients | Companies |
| Contacts | People |
What is not coming across.
- Documents in your old system stay where they are. We bring across the client list, not the file cabinet.
- Open balances and work in progress come out on their own sheets. We do not read those yet, so keep them somewhere you can find them.
- The roles that tie a contact to a client come out on a separate sheet, and we do not read that one yet. Contacts arrive attached to their client by name instead.
- The quick download icon gives you a fixed set of columns. Use the Options menu instead and tick Export all visible and hidden columns, so nothing is left behind.
- Your role needs the Export client & contacts permission turned on or the download is not offered.
- Your client list saves as CanopyClientsExport.csv and your contact list as CanopyContactsExport.csv. Send both as they are.
- Photos and files come over on their own. One move brings over 2 GB and 500 files.
